How Far in Advance Should We Book a Wedding Photographer?

Once you’ve officially set your date, the "to-do" list can feel a bit overwhelming. One of the most common questions I hear is: "How soon do we actually need to book our photographer?"


While the old rule of thumb was one year, the world of wedding planning has changed quite a bit recently. Couples are taking more time to research, but the most popular dates are still disappearing faster than ever!


Whether you’re planning for spring or summer, or even eyeing a symmetrical date like 06/06/26 or hoping for a cozy winter celebration, here is everything you need to know about timing your booking to get the best experience (and value).


Popular dates book up first

Wedding dates that fall on weekends, holidays, or during peak seasons tend to book quickly. Once those dates are gone, they’re gone.

If you’re planning a wedding during a busy time of year, photographers as well as venues may book a year or more in advance.


The 12-18 Month "Sweet Spot"

While many couples book between 9 and 14 months out, the new "gold standard" we’re seeing more often as of 2026 is closer to 12-18 months.

Booking early isn't just about checking a box; it offers some major perks:


  • Lock in Today’s Pricing: With service costs expected to rise 3-8% annually, booking early shields your budget from future price increases.
  • Pick of the Litter: A lot of photographers often limit themselves to 25–30 weddings a year. Once those spots are gone, they’re gone!
  • Building a Connection: An extra few months allows you to get to know your photographer a little bit better. It might even give you the chance to get out on a pre-wedding shoot, whether it be an engagement shoot, or just a quick couples shoot that your photographer may want to do so that you have the chance to hang out before your big day. That comfort is exactly what leads to those raw, authentic "in-the-moment" shots during your wedding day.


If you have your heart set on a specific date, you’ll want to reach out as soon as you have your venue secured. The most competitive dates usually include:


  • Symmetrical Dates such as Saturday, 06/06/26 or Saturday, 08/08/26.
  • The "October Rush": October has officially become the most popular month for weddings! Saturday, 10/10/26 is projected to be one of the busiest days of the decade.
  • Holiday Weekends: Memorial Day and Labor Day weekends provide extra travel time for guests, meaning they are usually high-demand.


Benefits of the "Off-Season"

If you’re planning on a shorter timeline (less than 6 months), don't panic! You can usually still find a photographer.


  • Winter & Shoulder Seasons: Months like January through March, or even November, often have more availability, though you may find that less wedding photographers work through the winter months.
  • Unique Lighting: While they can be cold and maybe not the most ideal for outdoor photos, winter weddings offer a beautiful, soft diffused light that is a dream for photography. If you’re the kind of adventurous couple who loves to be out in the snow, the winter can make for some magical images.
  • Mid-Week Magic: If you’re planning a micro-wedding or elopement on a weekday, you’ll have a much easier time booking your first-choice vendors.


A Couple of notes for planning your timeline

  • Sunset Planning: In June, the sun doesn't set until 9:00 PM, but in October, it’s down by 6:45 PM.
  • Weather "Plan B": In Ohio, we have to account for the unpredictable weather it throws at us. Booking early gives us time to scout "rain-safe" locations or shaded park areas so your photos look stunning no matter what the clouds are doing.


What happens if you book later?

Booking later doesn’t mean you won’t find a good photographer. It just means:


  • your options may be fewer


  • you may need to be flexible


  • popular photographers may already be booked


Some excellent photographers still have availability closer to the date, especially for off-season or weekday weddings.


Why photographers book limited weddings

Many photographers limit how many weddings they take on each year. This helps them:

  • avoid burnout


  • give each couple enough attention


  • allow time for editing and communication


Because of this, availability can fill up sooner than expected. Personally, I believe in providing each couple with quality photos, which I will take my time focusing on, to ensure the quality of what my clients are receiving. For that reason, it’s more difficult for me to take on back to back weekend weddings, or even week to week. If you’re looking for just basic photography, or working within a lower budget, there is nothing wrong with working with a company that specializes in fast turnaround. But it does mean you’ll most often have less choice in a specific style or even photographer for your photographs.


When to start reaching out


Even if you’re not ready to book immediately, it’s a good idea to start reaching out once you have a date and venue.

Early conversations give you time to:


  • compare options without pressure


  • ask questions


  • Look through image galleries


This makes the decision feel more relaxed.


It’s okay if your timeline looks different

Not every wedding follows the same planning schedule. Some couples plan quickly. Others take their time.

What matters most is finding a photographer you feel comfortable with and trust, whether that happens a year out or a few months before the wedding. As long as you understand availability and options, you can make a choice that works for you.
